Unlike standard maestro*MOBILE licences, “Employee” licences limit user access to the Project, Timesheets, and Inspections interfaces in maestro*MOBILE – provided the company purchased those modules.

Maestro*MOBILE “Employee” licences can be permanent or temporary. They can only be used by employees in charge of entering their own work time, and offer the following advantages:

  • Hand over and entrusting the time entry task to the employees;
  • Enable entering worked time whenever and wherever possible;
  • Enter worked time electronically;
  • Allow the inspection of equipment that was dispatched to the employee;
  • Transfer time directly to maestro*;
  • Available at a lower cost than standard maestro*MOBILE licences;
  • Provide a mobile solution to enter worked times, specifically for employees that don't require an access to the other maestro*MOBILE functionalities.

Steps

Configuring a user group for maestro*MOBILE Employee licence holders

The first step in configuring this access involves creating a user group specifically for maestro*MOBILE Employee licence holders. Once created, the group will have to be linked to all maestro*MOBILE Employee licence users.

 

maestro* > Maintenance > General Maintenance > Processing > Security Management

  1. In the Security Management window, click the User Group Management icon.
  2. Click the New icon.
  3. In the Group Description section, enter a Code (for example MOB) and a Description (for example maestro*MOBILE Employee Licences).
  4. In the Access Level field, select maestro*MOBILE employee. A warning message will be displayed informing the user about the employee licence’s access restrictions to the Project and Time Sheets interfaces. Click Yes.
  5. In the Access to Options section, on the left side, use the tree structure and check the options for which access will be granted.
  6. Click the Save icon.
  7. Click the Quit icon.
  8. To quit Security Management, click the Quit icon once more.

 

Identifying the external maestro*MOBILE address that needs to be communicated to users

  1. In the main maestro* menu window, click the Configuration icon.
  2. Select the General Settings option.
  3. Open the General Settings option tree view and select Communication.
  4. On the right side of the window, enter the maestro*MOBILE external address to communicate to users if this has not already been done.
  5. Click the Save icon.
  6. Click the Quit icon.

 

Assigning a maestro*MOBILE Employee license to an employee

Prior to entering their time in the maestro*MOBILE application, employees will need the following in maestro*:

  • A user number;
  • A maestro*MOBILE Employee access type (Security Management)
  • An access level corresponding to that of maestro*MOBILE Employee (User Group Management)

To assign the licence:

 

maestro* > Time Management > Payroll > Employees > Employee Management

or

maestro* > Time Management > Maintenance > Payroll > Employee Management

 

 

The information provided in this document only describes the steps to assigning a maestro*MOBILE Employee access type. Additional Payroll and other details will be required should the user be a new employee. In such situations, maestro* displays a warning messageindicating that the social insurance number (SIN) and date of birth are missing.

  1. If it’s a new employee, in the Employee Management window, enter an identification Numberas well as the employee’s last and first name. If you want to assign a maestro*MOBILE employee license to an existing employee, select him in the Identification section, click the Other Modules tab and continue to step 6.
  2. Click the Payroll Information tab.
  3. Select the appropriate Work Category in the Miscellaneous section.
  4. Click the Save icon.
  5. Maestro* asks if we want to set up a maestro*MOBILE access to this employee. Click Yes. Maestro* automatically goes to the Other Modules tab.
  6. In the maestro*MOBILE section, check the maestro*MOBILE employee access box.

 

This section is only displayed if maestro*MOBILE employee licences have been installed.

  1. If applicable, modify the User Code and/or select the User Group created previously for maestro*MOBILE employee license owners.
  2. Enter the user’s email address.
  3. Click the Create the user button. The maestro*MOBILE section of the Employee Management option is now completed.

 

If the employee’s name or email address is already used, a warning message qill be displayed asking if you want to ignore the existing data or select one of the users on the list for this employee. However, an email address can only be used once to configure a maestro*MOBILE Employee access.

  1. Click the Send the login details email button to send the information releted to the first connection to the employee, such as the initial password, automatically created by maestro*. The user will be invited to modify it from maestro*MOBILE.

You can now log into maestro*MOBILE using the following link: www.localhost/MaestroMobile. The first time you log in, enter your user code 123456 then the temporary password 76XY3M. You will next be invited to reset your password by entering it twice to confirm it. Select the company, language, and unit as well as the appropriate dispatch template in the parameter window. Save your parameters and you’re on your way!

When using maestro*3.05 or maestro*CLOUD, a password must readily be associated to the user code.

  1. Click the Save icon.
  2. Click the Quit icon.

 

Assigning or modifying maestro*MOBILE employee licenses to many employees

If several maestro*MOBILE Employee licenses must be withdrawn from employees, reassigned or added, it is possible to speed up the process by going through the Security Management option .

 

maestro* > Maintenance > General Maintenance > Processing > Security Management

  1. In the Security Management window, click the Access Configuration Table icon.
  2. Click the Mobile tab.
  3. Click then the Mass creation of users with maestro*MOBILE employee licenses icon.
  4. Depending on the desired action, make the appropriate selections using the top of the window filters.Then, click the Filter Data According to Specified Parameters icon to display the desired employees in the breakdown grid.
  5. Make the modifications or necessary additions and check the box of the Provide maestro*MOBILE Employee column to assign a maestro*MOBILE employee license.
  6. Click the Apply icon to make the changes effective.
  7. Click the Quit icon.
  8. Back to the Access Configuration Table window, click the Refresh icon to display the changes in the board on the right side.
  9. Click the Quit icon.
