Contact Group Management

OBJECTIVE

The Contact Group Management option is used to group contacts associated with a project or quotation.

 

Steps

 

maestro* > Maintenance > General Maintenance > Contacts > Contact Group Management

 

Create a group of contacts

  1. Enter the required information in the Contact Group tab:

Field

Description

Number

Number that identifies the group.

NOTE: If no code is entered, the system assigns a default code. If the code already exists, the system displays the data already entered for the code.

External Reference

Allows to enter a external reference number identifying the contact group.

Status

Status of the contact group: Active or Inactive.

Name

Group name.

Web Site

Used to enter the contact group Web site address by clicking the icon.

E-mail

Contact's e-mail address.

NOTE: if the maestro* detects that the email already exists in the Contact Management option, a confirmation message will be displayed to take this into account.

Project

Project with which the group is associated.

Quotation

Quotation with which the group is associated.

Prefix / Mask

Used to link a contact to a single company by assigning the company number to the contact in multidimensional mode.

NOTE: You can enter a mask with XXXX characters to allow access to certain companies.

  1. If needed, enter any particular notes concerning the contact group in the Notes tab.
  2. If needed, enter the required Document Password when opening documents that are sent to the contact group by email.
  3. If needed, enter the required information in the Other Information tab:

Scale

Used to enter a rating for the contact.

NOTE: You can sort on this field when selecting a sub-contractor in Quotations (construction).

Scope

Used to specify the scope of work the contact can complete. For example, 0 to 100,000 ft2, 100,001 to 500,000 ft2.

Activity

Used to enter more detailed information about the activities of the contact or company.

  1. Associating contacts with the company in the Contacts tab. It is possible to perform a multiple selection and to add multiple contacts at once.
  2. Distribution List tab: This tab lets you create distribution lists from contacts associated with the project or quotation.
  3. Maestro Form Links tab: This tab is used to determine the contact in the company to whom the various types of forms generated by the system must be sent.
  4. Transmitted Log tab: This tab displays a history of items sent to the contact by the system.
  5. Click Save.
