Procurement Management (MRP 1)
Objective
The Procurement Management (MRP 1) option allows creating multiple types of transfer or order transactions from different requisitions displayed in the option. Indeed, it is possible to create inventory orders, specific orders, project-to-project transfers, project-to-site transfers, and more.

Allows selecting the period for which we wish to see the consumption (quantity of items in delivery) for the selected requisition in the breakdown grid of the Procurement Analysis section. Filtering the Procurements Displayed
- Enter the desired information in the
Filtres section:
Field
Description
Allows indicating the site to process. This site will be the one from which the different transfers and orders will be processed.
The transactions will be created with this site.
Calculation date
Sub-section Catalogue Filters:
Product Code
Allows indicating the product code that must be processed in the transaction.
Item Type
Allows indicating the type of item that must be processed in the transaction.
Manufacturer
Allows indicating the manufacturer for which we wish to see the items in procurement.
Supplier 1
Allows indicating the supplier for which we wish to see the items in procurement.
Kind of Item
Allows indicating the kind of item that must be processed in the transaction.
Sub-section Requisition Filters:
Site
Allows indicating the requisition site to process.
If the site entered in the Site Processed field is a master site, it will automatically be entered here.
With no Site
If this box is checked, the requisitions will not have a site.
NOTES: This box is not checked by default.
This box will be greyed if the site in the previous field is a master site.
Reservation Number
Allows filtering the requisitions by reservation number.
Project
Allows filtering the requisitions by project.
Date Required
Allows filtering the requisitions by required date.

Note that if the Site Processed is a master site, the Processing Catalogue section will not be available.
Field
Description
Inventory Orders / Site Transfer
If this box is checked, it will be possible for the Procurement Management (MRP 1) option to create inventory orders, as well as inventory-site transfers to supply the necessary quantity of items to the different sites and different requisitions.
NOTE: If the processed site is supplied by a source site, the box will be named Inventory-Site Transfer since only site transfers are possible.
With Min. Qty
If the box is checked, only requisitions requiring orders with items having a minimum threshold will be displayed in the breakdown grid.
Entire Catalogue
If this box is checked, all the requisitions with items having a negative inventory will be displayed.

Description
Inv-Proj. / Inv-Site Transfer / Specific Orders
If this box is checked, the software will be able to create Inventory-Project Transfer, Inventory to Site Transfer, and Specific Orders transactions. The created transaction will depend on the type of requisition to which the site is linked.
NOTE: If this box is checked, the following boxes will be greyed:
- Specific Orders
- Reservations / Projects Transfers
- Production
Specific Orders
When this box is checked, the software will be able to create specific orders for project requisitions.
NOTE: This box will not be available if the Processed Site is a master site.
Reservations / Project Transfers
When checked, this box allows the software to create reservation or project and project-type requisitions transafer transactions.
NOTE: This box will not be available if the Processed Site is a master site.
Production
NOTE: This box will not be available if the Processed Site is a master site.
Equipment Requisition
When checked, this box allows displaying equipment requisitions.
NOTE: This box will not be available if the Processed Site is a master site.
Display all Processed Items
When checked, displays all requisitions with items, whether these items need to be ordered or not. This also allows seeing the consumption of all requisitions with items if the Calculate Consumption box is checked.
NOTE: This box will not be available if the Processed Site is a master site.
Calculate Consumption
When checked, allows calculating the cinsumption (quantity of items in delivery) in the Consumption column of the breakdown grid in the Procurement Analysis section.
NOTES: The periods for the calculation must be set up in the Enter Period for the Consumption Calculation icon.
This box will not be available if the Processed Site is a master site.
Completing Item Procurement
Procurement Analysis section:
This section displays the resulting requisitions from the previously entered filters. Multiple columns are available to be viewed:

Accept
Checkbox that allows accepting the requisition; process the order / the transfer of the required quantities for the product.
Product Code
Indicates the product code that needs to be procured.
Manufacturer
Indicates the manufacturer of the item as indicated in the Define Manufacturers option.
Manufacturer's Part Number
Part number of the manufacturer as entered in the Catalogue Management option.
Projetcs
Indicates the project number to which the requisition is linked.
Delivery Location
Indicates the product that must be sent as indicated in the Location field of the Requisition option.
Type
Indicates the requisition type.
NOTE: For more information on the different types, refer to the Requisition online help.
Summary Description
Summary description of the item. Contains up to 100 characters.
Description
More complete description of the item.
Order Deadline
Indicates the final date when it will be possible to place an order or transfer for this product.
Date required
Indicates the required date for the item.
NOTE: This date is not mandatory, except if the Manage Production Resources option is installed.
Processing Status
Indicates the requisition status.
NOTE: For more information on the different requisition statuses, refer to the Requisition online help.
Supplier
Supplier code indicated in the requisition and as indicated in the Supplier Management option.
NOTE: This information is used when creating orders.
Supplier Name
Displays the supplier's full name.
Supplier's Part Number
Indicates the code of the part coming from the supplier.
Source
Management mode
Lead Time
Order delay in days.
Activity
Activity affected by the material requirements.
Qty on Hand
Indicates the quantity in inventory.
Qty Available
Indicates the available quantity to be ordered and/or transferred.
Qty Reserved
Indicates the quantity reserved for another requisition.
Quantity Awaiting Transfers- Transfers
Indicates the item quantity awaiting transfer.
Quantity Awaiting Transfers- Adjustments
Quantity Awaiting Transfers- Receipts
Consumption
Displays the item quantity in delivery, per line.
It is possible to make a double-click on this box to see the history of the consumption for the requisition.
NOTE: This column will only display information if the periods have been selected using the Enter Period for the Consumption Calculation icon and if the Calculate Consumption box has been checked in the Processing Requisitions section.
Qty Required
Indicates the quantity to order or transfer.
Qty Not Required
Qty Ord.
Indicates the quantity ordered for the item.
Non-Transf. Qty Ord.
Indicates the quantity ordered that is not transferred.
Ordered Quantity Reserved
Indicate the quantity ordered and reserved for the requisition.
Minimum Qty
Indicates the minimum quantity of the item that must be held in inventory.
Maximum Qty
Indicates the maximum quantity of the item that must be held in inventory.
Qty to reserve or transfer
Indicates the reserved or transferred quantity.
Spec. Order

Indicates the quantity to order from inventory.
Qty to Transfer
Indicates the quantity to transfer; this information comes from the column of the same name in the Requisition (Process Immediately) grid. The information entered in the previously mentionned grid will be replicated here.
- Click on the line of a product to manage the transfers/orders for said item. A second Procurement Management (MRP 1) window will appear.
Identification section:
The fields indicated in this section are for informational purposes only; it is not possible to modify this section or its sub-section.

Description
Indicates the product description.
Type
Indicates the product type.
Delivery Lead Time
Indicates the number of delivey delays linked to the product.
Economic Quantity
Indicates the economic activity of the product.
Management Mode
Indicates how the product is managed (unit, unit price, etc.).

Indicates the location where the item can be found in the selected site.

Indicates the item's prefix.

Indicates the minimum quantity for this item in inventory.

Indicate sthe maximum quantity for this item in inventory.
Quantity- Inventory*
Indicates the quantity in inventory of this item for this site.
Quantity- Available*
Indicates the quantity available in inventory for this item, for this site.
Quantity- Reserved*
Indicates the reserved quantity for this item, for this site.
Quantity Awaiting Transfer - Transfers*
Quantity awaiting transfer for either a project or site transfer.
Quantity Awaiting Transfer - Adjustments*
Quantity awaiting transfer for an adjustment.
Quantity Awaiting Transfer - Reception*
Quantity awaiting transfer to be received.
Consumption*
Indicates the consumption (quantity of items in delivery) of the item.
On Order Quantity - Inventory*
Quantity on order for the inventory.
On Order Quantity - Not-Transferred*
Quantity on order and not yet transferred.
On Order Quantity - Reserved*
Quantity on order and reserved.
Qty to Order for Stock
Allows entering the quantity to order to supply the inventory.
NOTES: If an amount totaling more than the quantity in inventory is entered in the Qty to Transfer field, the missing quantity will automatically be added to the line of the processed site.
If the processed site is supplied by a source site, this column will not be displayed.
If the processed site is supplied by a master site, this column will not be displayed.
Qty to Transfer
Allows entering the quantity to be transferred to this site (inventory-site transfer).
NOTES: If an amount is entered on the line, the transfer will be performed from the processed site to the site where a quantity was entered.
If the processed site is supplied by a master site, this column will not be displayed.
Tech Batch*
NOTE: If the processed site is supplied by a master site, this column will not be displayed.
Economic Batch*
Indicates the minimum quantity to order to receive a volume discount.
NOTE: If the processed site is supplied by a master site, this column will not be displayed.
Adjusted Qty to Order*
Is adjusted with the amount entered in the Qty to Order for Stock field.
Adjusted Qty to Transfer*
Is adjusted with the amount entered in the Qty to Transfer field.
- Daily Quantities section:
This section works in tandem with delivery times, as well as minimum quantities. It allows indicating the quantities that will be required over the next nine days and in the future, as well as the quantities that have been requested and not fulfilled in the past.
- Place the necessary orders and transfers in the
Requisitions (Process Immediately) section:
This grid allows managing quantities in requisitions. It is possible to place orders and transfers for quantities so as to cover the various requisitions displayed. The choices offered to the users are based off the boxes that have been checked in the Processing Requisitions section.
It is possible to double-click on the requisition line to open the Requisition Inquiry window.

Requisition number, as entered in the Requisition option.
Memo*
Indicates the requisition memo as entered in the Memo tab, of the Requisition option.
Spécifications 1* et 2
Indicates the requisition specifications, as entered in the breakdown grid of the Detail tab, in the Requisition option.
Requisition Type*
Indicates the requisition type. For more information of the different requisition types, refer to the Requisition online help.
Description*
Description of the requisition.
Long Description*
Long description of the requisition.
Reservation No*
Indicates que requisition's reservation number.
Day*
Order Deadline*
Deadline by which it is possible to order/transfer the product.
Date Required*
Date on which the product is scheduled to arrive.
Project No.*
Project number linked to the requisition.
Delivery Location*
Indicates the delivery location selected in the Location field of the Requisition option.
Supplier*
Indicates the supplier code from the Supplier Management option, as indicated in the Requisition option.
Site*
Indicates the site of the requisition.
Location*
Indicates the location of the item in maestro*.
Identification*
Indicates the item's identification.
NOTE: Maestro* displays the serial number of the item when the latter is managed by serial number.
Qty Required*
Indicates the required date.
Company - Source
Allows entering a source company.
NOTE: If a source site is entered in the Site - Source field, the source site's prefix will be indicated here.
Site - Source
If the requisition's site is supplied by another site, it will be entered here.
NOTE: If a source company is entered in the Company - Source field, the available source sites will be the valid sites in the source company.
Specific Purchase
When checked, this box indicates that a specific purchase has been requested for the requisition.
If an order must be requested to supply the requisition and the Inv-Proj./ Inv-Site Transfer/ Specific Orders or Specific Orders boxes have been checked in the Processing Requisitions section, the current box will be automatically be checked and the quantity to order will be entered in the box of the same name.
When the box is checked, a stock order from catalogue with project number will be created to supply the required quantity.
This field is only used for project-type requisitions.
Qty to Order
When the Specific Purchase box is checked, the quantity to order will automatically be displayed here.
Transfer Proj.-Site
When checked, the box indicates that an inventory-site or inventory-project transfer is requested for the requisition.
Qty Inv.-Project
If the requisition's type is project and the Inv-Proj./ Inv-Site Transfer box is checked, the quantity to transfer as an inventory-project transfer will be indicated here.
A transaction will be generated in order to perform a transfer between the processed site's inventory to the project of the requisition.
Qty Inv.-Site
If the requisition's type is service call, customer order, or work order, and the Inv-Proj./ Inv-Site Transfer box is checked, the quantity to transfer as an inventory-site transfer will be indicated here.
Close the Line
- Click on Save then Quit.
If the required quantity for an inventory-site or inventory-project transfer is greater than the available quantity, a window titled Quantity insufficient will appear. Will be indicated in this window:
- The line on which the quantity is insufficient.
- The product code.
- The product description.
- The product's site, location, characteristics, unit, identification, and reservation number.
- The quantity details for the site.
Click on Yes to proceed with the transaction, and No to cancel it.
- Click on Apply with Selection. The Confirmation of the Transfer box will appear.
- If so desired, check one of the boxes. Click on Yes.
- If one of the requisitions is a transfer (project or site), the following message appears: Print a transfer slip? Click Yes or No, as required.
- The Maestro Report Viewer appears. Once done, click on Close.
- Back in the Procurement Management MRP 1 option, click on Quit.

It is important to note that the Procurement Management (MRP 1) option allows creating transactions, but it does not perform the transfer of said transactions. These must be completed in their respective options (i.e. Inventory to Project Transfer, Inventory-Site Transfer, etc.). |
