Generate Maintenance Calls

OBJECTIVe

The Generate Maintenance Calls option allows the user to generate calls from maintenance contracts. For the selected date range, maestro* verifies the contracts for which the Visits tab contains a visit date and creates a call and/or an invoice for the maintenance contract visit. Additionally, maestro* takes into account the Effective and Inactivity Start dates of the equipment indicated in the contract (validated in relation to the visit date).

  • The report resulting from the generation of maintenance calls can only be printed once.
  • If the customer referenced in the contract is blocked without warning, maestro* does not record any transactions for the contract.
  • If the contract is suspended, maestro* does not create a transaction (invoice or call) for this contract, except if the Maintenance type even if the contract is suspended box has been in the Contract Management option.
  • If the contract has been reactivated after being suspended, it will be possible to retroactively generate service calls if the Create calls retroactively if the contract was suspended box has been checked in the Contract Management option.

 

 

In multidimensionnal mode, call inquiries are only made for the current prefix.

Steps

 

maestro* > Service Management > Service Management > Contract > Generate Maintenance Calls

 

  1. In the Generate Calls window, select the Date Range.
  2. Choose a contract in the Contract Selection section.

The Simulation box is used to generate calls in simulated mode to ensure nothing is forgotten. This mode does not create calls nor invoices for the maintenance contract visits.

During the generation of maintenance calls, if the Save in Document Management field is set at When generating calls for the Work Order – Maintenance calls automatically generated form in the Mailing Configuration, maestro* generates the form, saves it in PDF format and attaches it to the call in the selected category.

  1. Click Accept.

The default status of the calls generated by this option can be defined in multiple ways in the contract or in the Service Management configurations. Maestro* observes the following priority for the fields:

Also, if there is a Person in Charge identified in the contract and the Assign automatically generated calls box is checked (Configuration – Service Calls, Call Dispatch tab), a dispatch is created for the call. It can be found in the allocated dispatches section.

  1. Status of Maintenance Generated Calls defined in the contract (Contract Management);
  2. Status of Maintenance Generated Calls defined in the service management Configuration;
  3. Default Call Status defined in the contract (Contract Management);
  4. Default Call Status defined in the service management Configuration.
