Role Management

Objective

The Role Management option allows to define the roles which can intervene in the various workflow steps. These roles refer to maestro* users, whether they be a project manager or the person responsible for a location. It is also possible to group users in roles that are set according to the needs of the company.

Creating a role

  1. Assign a Code to the role or let the system do it.
  2. Enter the role's Description. It is also possible to enter its French translation.
  3. In the Breakdown section, indicate which type of Flexible User the current role will represent:

Description

Manual Selection

In the grid, select a user by clicking on in the User field and by conducting a search in the newly displayed window.

In Manual Selection mode, one of the users who was added to this list will have to intervene in the workflow for which their role was mentionned. Thus, if five users are entered in the list, one of these users, any one of them, will be able to approve or reject a step of the given workflow.

Project Manager

The user identified as Project Manager of a project coverred by a workflow will have to intervene.

Responsible Source Site

The user identified as the User in Charge of the source location will have to intervene in the workflows for which this role is mentionned.

Responsible Destination Site

The user identified as the User in Charge of the destination location will have to intervene in the workflows for which this role is mentionned.

Author

The user who created the workflow will have to intervene when this role is mentioned.

Other Contact (Project)

Contact originating from Contact Management.

In multidimensional mode, an icon appears to the right of the field to allow the selection of a contact from another company.

NOTE: The contact identified in the project can receive a notification by email when receiving goods. The Other Intervener Related to Project box has to be checked in the Notify when receiving orders section. This configuration is available in Configuration – Purchasing under the Receipt of Goods section.

Project Manager or Other Contact (Project)

This role combines the Project Manager and the Other contact linked to the project of the transaction.

The two users who are identified as Project Manager or Other contact in the project linked to the transaction will have to intervene in the workflows for which the Project Manager or Other contact (Project) role is mentioned. If this role is chosen as responsible for a workflow step, the step can be approved by either one of these two users.

NOTES: Multidimensional values are taken into account if applicable.

If the workflow is about to move on to a step for which the responsible role is the Project Manager or Other contact (Project) and if:

  • The system finds neither a project manager nor another contact in the project linked to the transaction: it will be impossible to move the workflow to this step;
  • Only one of these two users is present in the project linked to the transaction: only this user will be able to move the transaction forward in the workflow.

Modifier

The user who made the last modification to the transaction will have to intervene when this role is chosen as responsible for a workflow step.

NOTE : If the table to which the process is linked does not contain the Modifier, the Author will be used instead.

  1. Save the modifications.
